Job Summary
The Client Services associate is responsible for day to day activities in the TUMIS Sales department such as speaking to clients, entering leads into database, estimating with printers, and providing support to sales. The Client Services may be the first point of contact for callers and visitors, and must represent Tumis appropriately with warmth and professionalism. The Client Services associate is also responsible for invoicing, accounts receivables, project management support, and general administrative assistant duties.


Job Responsibilities for Sales
• Develop a database of qualified leads through referrals and networking
• Identify, create, and manage leads in project management database, reporting to Sales Manager and Sales team
• Maintain accurate records of all sales and prospects including sales calls, closed projects, and follow up activities
• Contact sales leads and keep TUMIS project system up-to-date
• Conduct research on lead prospect and contact vendors for pricing, presenting solutions to identified prospects’ business needs
• Handle all incoming sales calls and emails; answering questions
• Maximize all opportunities in the process of closing a sale
• Schedule sales appointments and keep TUMIS calendar up-to-date
• Provide assistance and support to Sales Manager
• Prepare agendas, bids, contracts, letters, reports, and other sales documents
• Send out e-mails or mailings to clients and vendors as requested by managers
• Complete work accurately, on-time and in accordance with established process

Job Responsibilities for Project Management Support
• Maintain project management database (dotproject) project statuses
• Update project and assign tasks within deadlines using templates
• Keep deliverables on schedule; from and to client and vendors
• Provide clear time and scope guidelines to design, engineering, and integration
• Identify needs for project addendums and develop a new lead for addendum
• Other assigned duties by Project Manager(s)

Job Responsibilities for Accounts Receivables and Administrative Assistance
• Invoice clients (Quickbooks), adhering to payment schedule
• Prepare monthly income prediction spreadsheet for CFO
• Develop amicable rapport with clients and accounts payables contact
• Resolve issues with billing and scheduled payments with resourcefulness
• Responsible for communicating with different departments for work in progress and completion updates for final invoicing
• Obtain, route, and prioritize daily mail and emails (accounting, sales, and personal)
• Organize and maintain office and project filing systems; maintain contact database
• General office duties during peak hours (phones, filing, labeling, etc.)


Required Skills
• 2-4 years prior sales experience
• 1-2 years Prior administrative assistant experience
• Strong problem solving abilities
• Ability to cultivate, build, and maintain client relationships
• Understanding of customer relations and exemplifies great networking skills
• Excellent verbal and written communication skills
• Excellent organizational and time management skills
• Very detail oriented
• Ability to learn quickly and be interested in developing a variety of new skills; be able to manage multiple tasks and meet deadlines
• Must have the ability to work both autonomously and in a directed team effort
• Tactful and diplomatic in dealing with diverse people and confidential information
• Ability to take direction from more than one supervisor under changing priorities
• Respond quickly and calmly in demanding situations
• Self-motivated and works well in a team
• Proficient in Microsoft Word, Excel, e-mail (Outlook or Mail)
• Competent on both Mac and PC (This is primarily a Mac shop)
• Competent research abilities
• Experience with contracts and proposals


Desired Skills
• Knowledge of Quickbooks or similar accounting program
• Knowledge of dotproject or similar project managing program
• Understanding of graphic arts industry
• Passion for helping and involved one’s community
• Experience with non-profit organizations


Time Commitment
The position is a fulltime position with daily hours of 9AM – 6PM with one-hour lunch. Weekly, this position will require:
Sales – 25-30 hours
AR, Admin, and Project Management Support – 10-15 hours

Compensation and Benefits
This is a contract to hire position. Once hired, the employee will be able to choose between an hourly rate of $17 - $22/hour (DOE, with raises) or a lower hourly rate with commission. After the initial 3 months, job performance will be reviewed and the employee will be considered for permanent employment status. A separate job description and compensation letter will be offered.
